We are excited to announce our new Volunteer Committee! In light of the Ministry of Education funding cuts this year, we are looking to establish a strong volunteer base to support the work being done in the SOHL office and by our Board and numerous committees. The Volunteer Coordination Committee will build and maintain this base of on-call SOHL volunteers and plan fundraising and public engagement activities assigned to them.

The Committee will meet monthly to evaluate past activities and plan upcoming ones, it will coordinate the activities of volunteers, and it will conduct group training for new SOHL volunteers as necessary. We envision creative fundraisers, strong SOHL presence at public events, and the creation of connections with other organizations and potential sponsors.

SOHL Volunteer Coordination Committee Job Descriptions

Committee Coordinator/Advisor (1 position)

Duties & Responsibilities:

  • Oversees the activities of the Volunteer Coordination Committee, including brainstorming, activity-planning, volunteer recruitment/coordination, and more;
  • Chairs monthly Volunteer Coordination Committee meetings and delegates a minute-taker;
  • Reports to SOHL staff with regard to Committee updates and activities;
  • Advises committee and offers suggestions with regard to volunteer recruitment and retention, volunteer activities, and financing of volunteer-led initiatives.

Required Skills:

  • Thorough knowledge and understanding of SOHL and its programs;
  • Experience leading a team and navigating group dynamics;
  • Strong organizational skills;
  • Strong interpersonal and communication skills;
  • Ability to think creatively;
  • Experience with fundraising and/or public outreach is an asset.              

Time and training required:

  • The Committee Coordinator/Advisor will receive training directly from SOHL staff. Training partly serves to ensure that the committee members’ knowledge and understanding of SOHL is sufficient. This process will also include debriefing on the overall goals of SOHL’s volunteer initiatives and on the specific expectations of this role within the Volunteer Coordination Committee.
  • The time commitment for the position of Committee Coordinator/Advisor is approximately 10 - 15 hours per month. This estimate is highly dependent on the activities the Volunteer Coordination Committee may choose to undertake each month.

Significance:

  • The Committee Coordinator/Advisor acts as the head of the Volunteer Coordination Committee and serves as the link between the Committee and SOHL’s staff and board. This is a key communication role and is essential for the success of the Volunteer Coordination Committee, and SOHL’s volunteer initiative as a whole. 

 
 

Fundraising Coordinator (2 positions)

Duties & Responsibilities:

  • Participates in all Volunteer Coordination Committee activity and discussion;
  • Meets monthly with the Committee to plan and evaluate volunteer activities;
  • Builds and maintains SOHL volunteer base;
  • Oversees and provides training/instruction to SOHL volunteers;
  • Works with other Fundraising Coordinator to plan, coordinate, and facilitate fundraising activities and events.

Required Skills:

  • Ability to work well on a team;
  • Great interpersonal and communication skills;
  • Ability to think creatively;
  • Thorough knowledge and understanding of SOHL and its programs;
  • Fundraising experience is a strong asset.

Time and training required:

  • The Fundraising Coordinators will receive training directly from SOHL staff. Training partly serves to ensure that the committee-members’ knowledge and understanding of SOHL is sufficient. This process will also include debriefing on the overall goals of SOHL’s volunteer initiatives and on the specific expectations of this role within the Volunteer Coordination Committee.

Significance:

  • Fundraising volunteers are particularly crucial to SOHL due to major funding cuts recently suffered by the organization. SOHL is in need of new funding avenues, and the efforts of the Fundraising Coordinators and SOHL volunteers constitute a large part of this. The efforts of the Fundraising Coordinators will contribute to the mission and mandate of SOHL in a very concrete way. New sources of funding will allow the organization to continue supporting and expanding a number of SOHL’s programs and core initiatives.

 

Public Engagement Coordinator (1 position)

Duties & Responsibilities:

  • Participates in all Volunteer Coordination Committee activity and discussion;
  • Meets monthly with the Committee to plan and evaluate volunteer activities;
  • Builds and maintains SOHL volunteer base;
  • Oversees and provides training/instruction to SOHL volunteers;
  • Works with other Public Engagement Coordinator to plan, coordinate, and facilitate public outreach and engagement activities;
  • Evaluates and assists with SOHL’s marketing and promotional activities;
  • Works to make connections with other organizations and potential sponsors.

Required Skills:

  • Ability to work well on a team;
  • Great interpersonal and communication skills;
  • Thorough knowledge and understanding of SOHL and its programs;
  • Strong networking and promotion skills;
  • Experience with public engagement in the non-profit sector and marketing are strong assets.

Time and training required:

  • The Public Engagement Coordinators will receive training directly from SOHL staff. Training partly serves to ensure that the committee members’ knowledge and understanding of SOHL is sufficient. This process will also include debriefing on the overall goals of SOHL’s volunteer initiatives and on the specific expectations of this role within the Volunteer Coordination Committee.

  • The work of the Public Engagement Coordinators and associated SOHL volunteers is important for the advancement of SOHL in Saskatchewan communities. A public presence for SOHL creates more visibility not only for the organization itself, but also for the multitude of heritage languages and cultural/linguistic communities present in our province. It is important that all people in Saskatchewan understand the value of a strong, multicultural society and the preservation of our heritage.

 
 

School Visitation Coordinator (1 position)

Duties & Responsibilities:

  • Participates in Volunteer Coordination Committee activity and discussion;
  • Meets monthly with the Committee activity and discussion;
  • Recruits a cohort of School Visitation volunteers;
  • Trains School Visitation volunteers;
  • Coordinates school visitations and assigns volunteers to each visitation;
  • Compiles all data collected during school visitations;
  • Provides data to SOHL Executive Director;
  • Periodically reviews neccesary forms and policies.


Required Skills:

  • Ability to work well on a team;
  • Thorough knowledge and understanding of SOHL and its programs;
  • Strong organizational skills.

Time and training required:

  • The School Visitation Coordinator will receive training directly from SOHL staff. Training partly serves to ensure that the committee-members' knowledge and understanding of SOHL is sufficient. This process will also include debriefing on the overall goals of SOHL's volunteer initiatives and on the specific expectations of this roles within the Volunteer  Coordination Committee.
  • The time commitment for the position of School Visitation Coordinator is approximately 10-15 hours per month. This estimate is highly dependent on the number of school visitations in a given month.

 
Significance:

  • School visitations are a key component of SOHL's language school funding program. They enable SOHL to confirm each school's enrollment and attendance numbers, which informs the amount of funding provided to each school. The efforts of the School Visitation Coordinator are thus essential to the functioning of this core program. They will ensure that SOHL continues to uphold accountability and transparency.

  • Are available on as-needed basis;
  • Take direction from Volunteer Committee members;
  • Carry out assigned public outreach/engagement and fundraising activities.
